Print a Color PDF in Grayscale in Acrobat Reader

By ON Lab · Sources checked November 6, 2026

In Acrobat Reader’s Print dialog, enable Print in grayscale to request a color PDF in shades of gray. Check a representative page before printing the whole document, especially when the information relies on color differences.

Find the documented control

Adobe’s Reader guide describes opening File → Print, selecting the printer and copies, then enabling Print in grayscale for black-and-white output. Choose the pages you need and inspect the preview as you change settings.

This guide concerns a printed reading copy. It does not describe permanently converting the source PDF or verify that a printer will use only a particular ink cartridge. Keep the original color file if the document owner or recipient needs it.

Pick a page that can reveal a problem

A plain text page may look fine even when a color-coded chart becomes difficult to read. Choose a page with the smallest labels and at least two of the colors that carry meaning. Decide what a reader must still be able to distinguish after printing.

For an editorial example, a chart might use a red line for actual results and a green line for a target. On the paper copy, check whether the legend, line style or labels still identify those series. If the distinction is lost, ask for a version with explicit labels or another suitable presentation. This is an acceptance example, not a test we ran.

Compare a small output before making copies

  1. Record the selected printer, PDF page and grayscale option.
  2. Check the preview for the intended content and layout.
  3. If appropriate, print one representative page and inspect both the text and meaningful color distinctions.
  4. Only continue when the paper meets the reading task; record any difference between your request and the result.

If output remains colored or Reader reports an error, note the application version, operating system, exact printer entry and relevant settings before asking support. The checkbox’s presence is not a diagnosis of why a particular device ignored the request. This article does not prescribe color-profile changes, driver replacement or a universal repair.

If the page is empty rather than merely the wrong color, use the blank-printout checklist. If several pages must share one sheet, the Multiple layout is a separate decision that also needs a readability check.

Scope: Adobe’s documented Reader grayscale request and an editorial output check. No printer, ink consumption or grayscale success rate was physically tested.
