Printer Offline in Windows 11: Start With Connection and Queue Checks
By ON Lab · Sources checked November 6, 2026
In Windows 11, start with the printer troubleshooter in Get Help, then check the printer connection and queue. A powered-on printer can still appear offline to the computer; record what Windows actually reports before changing several settings.
Start with a small check
Microsoft recommends the automated printer troubleshooter in Get Help for Windows 11. Its general checklist then covers restarting the printer, checking the Wi-Fi connection, selecting the intended default printer and reviewing the print queue.
- Open Get Help and run its printer troubleshooter. Record any message it gives you.
- Check that a wireless printer and your computer are on the intended Wi-Fi network.
- In Settings → Bluetooth & devices → Printers & scanners, select the printer you intend to use.
- Open its print queue and inspect any pending jobs. Before cancelling jobs on shared equipment, check with the people who submitted them.
Keep connection and document problems separate
When Windows reports the printer as offline, begin with availability. Rewriting or converting a PDF does not establish that the computer can communicate with the printer. Once the device is available, use a short document for the next check.
Write down the printer name exactly as displayed. If several similar entries exist, a screenshot of the selected entry is more useful than a note saying “the office printer.” Do not include confidential document names in a screenshot that will be shared publicly.
If it remains offline
Microsoft also describes restarting the Print Spooler service and removing and reinstalling the printer. Those are later steps in its linked guide. On a managed computer, send your observations to the administrator before changing services or removing devices.
A simple handoff note
Use this pattern: “Windows reports [status] for [printer entry]. Get Help reported [message]. The printer displays [message]. The queue contains [number] jobs. The last successful print was [time].” Replace each bracket with an observation or “unknown.”
If the printer becomes available but only a PDF still fails, continue with the PDF comparison checklist. These are separate stages of the problem, and keeping the results separate makes the next decision easier.
