PDF Printing Not Allowed? Check the Document Permissions
By ON Lab · Sources checked November 6, 2026
A PDF can open successfully while its permissions prevent printing. Check the document’s restrictions before changing printer settings. If printing is restricted, Adobe advises contacting the PDF author.
Read the permission setting
Adobe’s instructions for checking PDF form security use Menu → Document Properties on Windows, or File → Document properties on macOS. Open the Security tab and review Document Restrictions Summary. Record what it says about printing rather than changing any setting.
Adobe’s printing-permissions documentation distinguishes three choices set by the document creator: None prevents printing, Low Resolution allows up to 150 dpi, and High Resolution permits any resolution. A permission to view the file is therefore not the same as unrestricted printing permission.
Choose the right next step
| Observation | Useful next action |
|---|---|
| Printing is not allowed | Ask the author for a copy that permits your intended use. |
| Printing is allowed, but no page comes out | Use the separate file-versus-printer checklist. |
| You cannot open the document | Ask the sender how you should access it; its printing behavior is still unknown. |
These are different starting points. For example, a document that displays normally but explicitly disallows printing gives support different information from a document that reaches the queue and stalls. The example is illustrative; we did not reproduce either failure.
Send a precise request
A useful message to the sender is: “I can open the document, but its security summary says printing is not allowed. I need a paper copy for our review. Can you provide a version that permits that?” Add the document version or date so the sender knows which copy you mean.
If your copy permits printing, record the application, selected printer and any visible error, then follow our PDF printing comparison. Do not treat a permission check as a diagnosis of the printer hardware.
Scope: reading document permissions and choosing the next contact or diagnostic step. This guide does not remove restrictions or promise a printable result. No protected-file or physical-printer test was performed.
