Gmail Says a PDF Attachment Is Too Large? Check the Account and Total
By ON Lab · Sources checked November 6, 2026
Check the Gmail account type and the total attachment size before treating a PDF as too large. Google lists a 25 MB attachment limit for personal Gmail; for work or school accounts, the Workspace administrator sets the sending and receiving limits. A small file that fails does not establish a size problem.
Read the limit for the account you are using
Google’s current attachment guide distinguishes personal accounts from managed ones. Do not assume the personal limit applies to every workplace account or that the recipient’s mail service accepts the same size as yours.
List the files you intend to send and check the total, rather than looking only at one PDF. If the message reports an error, record its wording and the stage at which it appears: choosing the file, uploading it, or attempting to send.
Notice when a file becomes a Drive link
Google says Gmail replaces attachments above the applicable total-size limit with a Google Drive link. A link and an attached copy have different delivery requirements: seeing the filename in a draft is not, by itself, proof that the recipient can open the content.
For files already in Drive, Gmail’s documented computer route uses Insert files using Drive. It offers Drive link or Attachment; the attachment option applies to files not created in Docs, Sheets, Slides or Forms. Gmail also checks recipients’ access for Drive files and can prompt for sharing changes.
Review the intended recipients and access before sending a link. A work or school administrator can restrict sharing. This guide does not advise making a private document available to anyone with a link simply to avoid an access prompt.
If the PDF is below the expected limit
Keep the actual observation separate from a proposed cause. Google’s help covers upload failures, storage limits and particular error messages as different cases. A size explanation is not established merely because a draft containing a PDF will not send.
For an editorial example, record “one 4 MB PDF, personal account, error shown while adding the file” rather than “Gmail cannot send PDFs.” Include the exact error and whether other documents behave the same way when seeking support. This is a suggested record format, not a send test we performed.
Before choosing a delivery method, verify the actual file. If it is a filled form, use the saved edited-copy check. If locating the correct copy is the problem, review the download folder check.
Scope: current Google guidance on attachment limits and Drive insertion, plus an editorial error record. No email was sent, document uploaded or sharing permission changed for this guide. It does not diagnose a particular failed delivery.
